Cisco to Zoom Phone Migration Process

General project timeline
ITS has finished the early adopters phase and is currently migrating users from Cisco to Zoom Phone with our first major group already prepared to migrate at the beginning of November 2023. The project is set to be complete, with all users moved into Zoom Phone, by the end of March 2024. Below is the planned migration timeline:
Fall Semester 2023
- Late summer-early fall - ITS and early adapters
- Fall break - Code Blue phone replacement commences
- November 8th - Advancement, Communications, Worth Health, CAPS, the Libraries, and Theater Productions
- Beginning of December 2023 - Remainder of 101 S. Chester, Parrish Hall, Cunningham House, Beardsley, and Whittier
Winter Break 2023
- Winter Break - Public area phones
- Mid-January 2024 - South side of campus, Science Center, and Singer
Spring Semester 2024
- Late February 2024 - Trotter, Kohlberg, Pearson, LPAC, Lang Music, Lang Center, Old Tarbel, BCC
- Mid-March 2024 (Spring Break) - TBD
Migration process
This is the process departments can expect as we move forward with the migrations, which Zoom refers to as porting:
- Departments contacted 6-7 weeks before the date they have been scheduled to migrate. The project team will meet with department representatives to explain the porting process, and to gather information about department-related phone numbers and practices.
- Resources and campus-wide training dates will be shared with department members, in addition to campus-wide announcements.
- Zoom Phone training sessions will be recorded. Recorded sessions will be shared with session attendees, as well as linked below.
- Numbers sent to Zoom 30 days prior to scheduled port date. No changes can be made after that - changes will need to wait until the next port date.
- Zoom phone appears in the Zoom app and the Zoom browser interface, and end users can set up office hours, voicemail, call handling, etc ahead of the port date.

Phone number will be 'pending' . External calling will not work, but 4-digit dialing will work between Swarthmore zoom phone users.
- Day of migration, porting is completed and all calls will go through the Zoom application.
- Ported phone numbers are removed from the Cisco phone server and Cisco phones will stop working, stuck in a “Registering” loop.
- Departments collect Cisco phones for return to ITS.
