Accessing Voicemail on a Common Area Phone
How to set up the greeting or access voicemail messages on a Common Area Phone
NOTE: A Poly phone can only access voicemail settings if it has been added to the Voicemail Access Member List for the Common Area phone or a Shared Line Group (SLG). Each Common Area User (common area phone) and SLG has it's own access list. Common Area phones use a Common Area User license.
Record voicemail message for a Common Area Phone
- The Common Area User license is for phones that are not assigned to a specific person. Poly phones with a common area user license are referred to as Common Area phones.
- Voicemail is disabled by default on Common Area phones. Contact ITS to have the voicemail feature enabled. Include location of phone, line description, and reason for voicemail access.
- ITS must add the voicemail greeting. Common Area phones are not able to record voicemail greetings. Use one of the methods below to provide ITS with the message that you would like added to the Common Area User:
- Type out the voicemail greeting for ITS to add via Text-to-Speech.
- Record a voicemail greeting and save it as a MP3 or .WAV file for ITS to upload. The file size must be under 10MBs.
Listen to voicemail messages on a Common Area Phone
NOTE: Common Area phones that are part of a Call Queue (CQ) will not see the Call Queue line listed. The messages are part of the Common Area User's phone line (phone number assigned to the phone). Only Common Area Users that are members of the CQ Voicemail Member Access List will be able to dial in and access the voicemail.
- Select the line associated with the voice mailbox. Press the button next to the line listed in the LCD screen (if the phone has more than one line listed).
- Dial *86 and press Dial or Send.
- When prompted, enter the Common Area User's voicemail PIN Code followed by #. The PIN Code is provided by ITS when voicemail is enabled for the phone number.

Press one to listen to voicemail messages.
- Follow the audio prompts to manage the voicemails and voicemail settings.
Voicemail for a Shared Line Group on a Common Area Phone
- Select the line associated with the SLG and follow the directions for the Common Area Phone.
